What is the Electronic Stamp?

Here we are talking about applying a company stamp just like you would do with an ink stamp.

Today, the use of the company stamp is common in all companies and administrations, or even mandatory.

With the progress of dematerialization, many documents are exchanged electronically and no longer require printing.

However, simply affixing the company stamp will require the document to be printed, stamped and scanned before it can be transmitted.

To facilitate daily administrative tasks while maintaining the reassuring and marketing aspect of the stamp, we have created the KEYMO digital stamp.

The KEYMO digital stamp is easy to adopt because it uses the same stamping gesture well known by all of us, but also the same method of configuring the imprint as for ink stamps.

Furthermore, to fight corporate identity fraud due to the theft/loss of ink stamps, the KEYMO electronic stamp offers the most advanced security.

First of all, the KEYMO stamp offers to protect the stamping acts by a PIN code that you will have defined. But also all the data of the company stamp is protected in a digital safety box which is located in an ultra-secure component of the KEYMO stamp. This component is the same as the one used in payment cards and identity cards/passport.

Finally, to ensure the best security when affixing a company stamp, the KEYMO stamp allows you to benefit from all its capabilities by fulfilling the same obligations and requirements as those of an electronic signature.

The Electronic Signature, yes but which one?

There are many different definitions for the digital signature, but the term "electronic signature" meets very specific constraints, requirements and standards.

The electronic signature corresponds to standards defined by national and international regulations which are, for example, ESIGN (Electronic Signatures in Global and National) in the United States, and eIDAS (electronic IDentification, Authentification and trust Service) in France and throughout Europe.

These standards and norms have in common the use of asymmetric cryptographic mechanisms recognized as the most efficient procedures to ensure the integrity and genuiness of electronic data.

Thus, they allow the electronic signature to have a value equal to the handwritten signature or even stronger and therefore to be admissible in court as evidence or prima facie case.

The technical regulatory constraints, for the electronic signature to be applicable and recognized as such, vary according to the criticality level of the document to be signed.

The various levels of electronic signatures are established as described below:

The Simple Electronic Signature (SES)

The simple electronic signature is achievable through the standard use of our KEYMO stamp and its application

The simple electronic signature is applicable to any legal act between individuals or private actors. This includes, but is not limited to, the following documents

  • Contracts

  • Invoices

  • Purchase orders

  • Mandates

  • Accounting documents

  • Authorizations

  • Receipts

The Advanced Electronic Signature (AES)

The advanced electronic signature is achievable through the standard use of our KEYMO stamp and its application. It also requires a process of identification (or KYC) of the KEYMO stamp holder before assigning it. This process can be done either within the company itself or through an external trusted party.

Actually, some private actors will be more demanding and, judging that the content of the documents to be signed requires an additional level of security, will request this type of signature.

Some entities therefore sometimes require this type of signature for :

  • Invoices
  • Employment contracts
  • Life insurance contracts
  • Real estate deeds of sale

The Advanced Electronic Signature (AES) with qualified certificate

The advanced electronic signature with qualified certificate is possible through the advanced use of our KEYMO stamp and its application.

The advanced electronic signature with qualified certificate therefore corresponds to the advanced electronic signature with a qualified certificate for a given individual.

To do this, the KEYMO application provides access to the unique public key of the KEYMO stamp so that you can request the generation of a qualified certificate based on this key from a trusted third party provider such as GlobalSign, Entrust, CertEurope, Certinomis, Chambersign...

The trusted third party provider of this qualified certificate usually also offers to perform the identification of the user of the KEYMO stamp and thus performs the advanced aspect (KYC) of this signature.

Once you have retrieved your certificate, all you have to do is to load it into the KEYMO stamp using its application and you will be able to practice this type of signature.

The documents generally requiring this type of signature are among others:

  • Dematerialized administrative documents
  • Tenders' responses

The Qualified Electronic Signature (QES)

The qualified electronic signature is achievable through the advanced use of our application and highlights the embedded technology of the KEYMO stamp. The certification of our KEYMO product for this type of signature is in progress and will be available very soon.

The qualified electronic signature is the ultimate level of security that can be provided in the context of the electronic signature.

Similar to the advanced electronic signature with qualified certificate, this time you will have to hand over the KEYMO stamp to the trusted third party provider of the qualified certificate so that they can also qualify the KEYMO stamp with their qualified certificate as a whole before handing it over to you. Eventually, the KEYMO stamp for this type of signature will be distributed directly by the trusted third party.

This type of signature is used in very specific cases for documents related to regulated commercial activities, corporations or in the public domain.

The documents that most often require this signature are:

  • Notarial deeds
  • Decisions made by a court
  • Bailiffs' documents
  • Specific public contracts (tenders, contracts, billing)
  • Lawyers' documents
  • Documents from banking institutions

The Electronic Stamp, why?

The electronic stamp is made possible by the advanced use of our KEYMO stamp and its application.

The electronic seal is the equivalent of the advanced electronic signature with qualified certificate applied not to an individual but to a company, a legal entity. The fact of affixing an electronic seal does not imply any commitment of the company with regard to the sealed document but ensures the integrity and the genuiness of the document.

The 'electronic seal' denomination requires by default to meet the advanced or advanced with qualified certificate criteria with the same principles as those mentioned in the context of the electronic signature.

Our service with the name 'electronic stamp' mentioned at the top of the page could be called a simple electronic seal.

The use of the electronic seal (advanced, qualified certificate) rather than the electronic stamp (simple seal) depends on the value that one wishes to give to the sealed document.

Documents deemed sensitive or of high value may require electronic seal with or without a qualified certificate.
